Navigate to Settings > Admin Panel > Users.
To see a list of users who have activated their Idea Spotlight accounts, click on the Manage Users tab (1). You will be shown the activated list as default including the User Name, Email, Role and Contributor status. If you wish to change a user’s role or contributor status, click on the radio button next to the relevant user.
Deactivating a User – In the list of Activated users, click on the radio button to the left of each user name, then click Deactivate Users.
Within this menu you have the ability to send a custom email message to all users or a defined group (Admins, Managers, Full/ Limited Contributors), click Send Message to All to write and send your message.
Click on the Deactivated radio button to see a list of the deactivated users. Deactivated users cannot access the platform and if they try to login, they will be presented with the below message on the login page.
Re-activating a User – In the list of Deactivated users, click on the radio button to the left of each user name, then click Activate Users.
System Admin - Super users with full access across the platform including full visibility of any private challenges.
Manager - Managers can create Challenges and Conversations, manage the content they create and assign other users to manage the created content. However, they do not have the same permission for content they did not create. Although a Manager can create content, they cannot delete that content, only System Admins can do this. Managers have permission to create content in the main site, but do not have the permission to create content within an Idea Space or Co-creation Community.
None (Contributors) – The standard user role when they join the platform. Contributors can add ideas, comment, vote and share content with others. Everything you need to collaborate on Idea Spotlight.
Pending Users are users that have been invited to join the site, but haven’t activated their account yet. To see the list of pending users navigate to the Manage Pending Users tab on the left hand side. Please note that Pending will still receive certain email notifications from the platform, for example Weekly Digest, team member invites, shared content and Community invites.
If you want to re-invite these users, select the relevant user using the radio buttons to the left of their user names, then click Resend Invitations to bring up the message window.
If you wish to delete any pending users, please send a list of the email addresses to firstname.lastname@example.org.
You can invite users to the platform directly through Admin Panel > Users > Invite Users.
1) Type the email address in the box provided, separated by commas. Press Invite these users when finished to reveal the message box.
2) Add your custom message (1).
3) Assign the new users to existing groups if you wish (2).
4) Click Invite Contacts to trigger the emails (3).
